Program Assistant

Responsible to: Physical and Occupational Therapy Manager              
Hours: 32 hours/week
Schedule: Monday - Friday, varies - 5:30 PM
Pay Range: $19.10 - 28.64

Job Summary:

Directly responsible for all office management activities related to the daily operations of the Physical Therapy department.  Performs routine office procedures, including greeting patients, scheduling patient appointments, typing, answering the telephone, taking messages, filling out forms, getting prior authorization for treatment, and answering requests for information from insurance companies.  Provide exceptional customer service to departmental patients.  Provide support to, and function as an integral member of, an interdisciplinary rehabilitation team.

Education & License Requirements:

High school diploma required, and three years of healthcare-related work experience preferred.  Knowledge of the workers’ compensation system preferred.

Minimum Qualifications & Experience:

Must have experience with PC and windows-based programs and the ability to organize work projects, prioritize, problem solve, and function independently. Keyboarding skills adequate to accomplish required departmental data entry. Desired skills include:  Good communication and excellent interpersonal skills required.  Ability to maintain professional demeanor and confidentiality in dealing with others.  Ability to handle detailed workload appropriately and assure follow through.  Must be able to multi-task and work in a fast-paced environment.

Essential Job Functions:

  • Obtain prior authorization for various screening, testing, and assessments ordered.

  • Prepare patient charts, schedule appointments, and register patients.

  • Send and receive medical records and reports to/from insurance companies or billing.

  • Provide attentive customer service to departmental patients.

  • Collect and record payments from patients.

  • Answer phones and return calls in a timely manner.

  • Provide support to, and function as a member of, an interdisciplinary rehabilitation team.

  • Perform other duties as assigned.

Marginal Job Functions:

Light cleaning and assistance with departmental space organization
